Four worklists, one ladder
Hot → Risk → Inactive: customers slide down the ladder as time since their last service grows, and re-engagement moves them back up. Another Dealer catches the ones servicing elsewhere — your win-back list.
TLE — Customer Records Management
TLE CRM is built for Toyota dealerships. It sorts your whole TLE customer base into daily worklists — Hot List, At-Risk, Inactive — predicts each vehicle's next 5K/10K service date from its real mileage history, and, with the Loyalty App, puts your store on your customers' home screens.
Your own subdomain. Your own isolated database. Never shared.
01 The CRM
Every customer lands on exactly one worklist by how long they've been away — your BDC works the lists, logs every touch, and the score moves.
Hot → Risk → Inactive: customers slide down the ladder as time since their last service grows, and re-engagement moves them back up. Another Dealer catches the ones servicing elsewhere — your win-back list.
Mileage history → daily rate → predicted 5K/10K service date. Vehicles landing in the next 0–90 days surface on the Hot List — no AI, just their odometer.
Six channels, one tap each — every touch lands in the customer's activity log with who and when.
One number for how engaged your base is, with a six-month trend — plus coverage on PPM, ToyotaCare and PMA, segment movement, and outreach by date range.
Open recall campaigns by VIN and campaign code, filterable — safety-compliance outreach, worked like any other list.

02 The Loyalty App
A branded loyalty app for your Toyota customers, installed straight from the browser — a PWA, no app store between you and them. Service visits punch toward earned reward coupons. Offers arrive as push notifications. Sign-in is a six-digit email code.
Installs from the browser to the home screen
2 visits to your next earned reward
Comes with a custom QR code — advisors use it on the service drive to get customers signed up, and your salespeople can use it on day one, right at delivery.
Customers scan the VIN with their phone camera. NHTSA decodes it on the spot — Toyota vehicles only, within 7 years of first use.

NHTSA · Toyota verified
A trim and color picker at signup — so the app shows their RAV4, not a stock silhouette.
Service visits fill the punch card and mint an earned reward coupon, redeemed on the service drive. Staff can issue targeted specials, too.
Next 5K service · RAV4 2023
Show on the service drive to redeem
Add every Toyota in the driveway by VIN scan, and invite a co-owner by email — they see everything, read-only. Each vehicle shows its next five service dates in the app.
Customers sign in with a six-digit emailed code. Nothing to forget, nothing to reset, nothing for your staff to troubleshoot.
Code sent to m.nguyen@…
Opt-in push puts your offers on their lock screen, and an in-app banner flags any open recall on their VIN.

05 FAQ
A one-time development fee — $4,500 for CRM, $6,000 for CRM + Loyalty App — covers your development period: the 2–6 months we spend building your system. It books your build; you don't pay again until launch.
At launch. Monthly billing begins the day your CRM goes live at your subdomain — not while we're building.
Typically 2–6 months — your data, your branding, your business rules, and staff training. Every custom add-on adds development time and cost on top. We scope your exact timeline on the kickoff call.
Yes. You get your own subdomain (yourdealership.tle-crm.com) and your own isolated database. Your customer data is never pooled or shared with another store.
Three ways, and you can mix them: manual staff entry straight into the CRM, guided CSV uploads through the Upload Center (TLE Import, corporate reports, recall files, DMS service records, CarFax) with our team mapping the fields alongside you, and a direct DMS/API integration we scope and build during your development period. We set up your mix at the kickoff call.
Toyota vehicles only, from your own market. Signups are double-verified: the customer's ZIP code must fall inside your store's PMA, and the VIN — scanned with the phone camera or typed — is decoded against the NHTSA database and must come back a Toyota within 7 years of first use.
A punch card that turns service visits into earned reward coupons redeemed on your service drive, staff-issued specials, a multi-vehicle garage with read-only co-owner sharing, each vehicle's next five service dates, push-notification offers, a recall banner, and six-digit email-code sign-in. It installs from the browser straight to the home screen — no app store listing required.
Pick a plan and sign up, or send us a note. We’ll confirm your build and next steps directly — no payment is taken here.
